Allenvo's Privacy Policy

This privacy policy explains how Allenvo processes personal data in accordance with the General Data Protection Regulation (GDPR).

2. Collection of Personal Data

We do not process sensitive personal data. Sensitive data includes information about health, ethnic origin, religion, political opinions, union membership, genetic or biometric data or sexual orientation. Users should not voluntarily submit such data in profiles or other communication through the platform.

3. Purpose and Legal Basis

We process personal data according to Article 6 of the GDPR, ensuring a legal basis for each type of processing:

4. Sharing of Personal data
  • With verified employers (anonymously before a match is approved)
  • With third-party providers (Alva Labs, Stripe, AWS, Typsense)
  • With authorities where legally required

Assessments via Alva Labs

If you, as a candidate, are invited to complete a personality or logic test, the assessment will be carried out on our assessment partner Alva Labs' platform. Alva Labs will contact you directly via email to complete the test. Allenvo and Alva Labs share joint controllership for the processing of your data in connection with the assessment.

Alva Labs only processes your data for the purpose of delivering the assessment. Your data will not be used for marketing, AI training, or product development. Only aggregated or anonymized data may be used for statistical purposes.

5. Data Storage and Retention

Allenvo retains only the data necessary to provide and improve its recruitment services, and to comply with legal obligations. We follow principles of data minimization, purpose limitation, and user control.

  • Candidate data: Profiles are retained indefinitely unless the user explicitly requests deletion.
  • Technical logs: Application-level logs are stored in AWS CloudWatch for a maximum of two weeks. These logs are strictly operational and do not contain personal data related to candidates or employers.
  • Payment data: Stripe manages all sensitive payment information in accordance with its own privacy and retention policy. We do not store any card or payment details. Other financial records, such as invoices, are retained indefinitely in our systems for business and compliance purpose. We store the card brand, the last four digits of the card number, and the expiration date in order to allow companies to identify their cards and facilitate updates to the default card used for reccuring payments.

Allenvo uses automated decision-making in limited cases, such as for candidate–job matching based on profiles or assessments. These processes do not result in legal or similarly significant effects for the individual without human oversight. Users may contact us to request a manual review or further clarification of automated outcomes.

A Data Protection Impact Assessment (DPIA) has been conducted to ensure compliance and appropriate safeguards under Article 35 of the GDPR.

6. Your Rights under GDPR

You have the right to:

  1. Request access to your data
  2. Request correction or deletion
  3. Restrict or object to processing
  4. Receive data in a portable format (data portability)
  5. Withdraw consent at any time

7. Transfer to Third Countries

Allenvo primarily works with providers within the EU/EEA. If data is transferred to third countries, legal safeguards such as the EU Commission’s Standard Contractual Clauses (SCC) are used.

8. Security

We use TLS/SSL encryption, access control, and conduct regular security audits. In case of a data breach, we notify the Data Protection Authority and affected individuals within 72 hours.
